As a freelancer tandem, systematic acquisition of project leads is crucial – but also extremely time-consuming. Platforms like Freelancermap or Freelance.de publish hundreds of listings daily that need to be manually reviewed, evaluated and answered with individual cover letters. Each lead easily takes 30–60 minutes – with dozens of leads per week, a significant bottleneck.

The Solution

The IF Lead Management Platform automates this entire process end-to-end: From automated lead capture through AI-powered relevance and priority scoring to the complete generation of highly individualized cover letters – including an interactive chat assistant for fine-tuning and professional PDF/Word export.

Web Scraping Pipeline

A custom-built scraper continuously monitors freelancer platforms and captures new project listings. Leads are automatically imported into the platform via a secured API (API key authentication). A delta mechanism ensures that only new leads are processed – previously known listings are deduplicated.

AI-Powered Ranking

Every incoming lead is automatically analyzed by an Azure OpenAI-based scoring algorithm. The system checks the listing against a detailed competency profile and classifies by relevance (relevant/not relevant) and priority (High, Medium, Low). Each assessment includes a traceable reasoning – why the lead fits or not.

Agent-Based Cover Letter Generation

The heart of the platform is a LangChain-based agent that generates highly individualized cover letters. The agent has access to tools: It can retrieve CV details and select the most relevant references from a database of past projects for the respective lead. The cover letter is generated in structured sections (salutation, introduction, references, terms, closing) and supports two application types: Solo & Tandem.

Interactive Chat Assistant

Generated cover letters can be iteratively refined through a chat interface. Users can have specific sections adjusted. The agent considers the entire conversation history and current sections. Every version is stored with versioning and can be restored.

PDF and Word Export

Finished cover letters are provided as professionally formatted PDF documents. They can also be exported as editable Word files when needed.
